This glossary describes the key concepts and terminology used throughout our products, and is a good place to get started learning how to set up and use the system.
A system which controls access to the Gym or Studio using a door or turnstile. Access control hardware is supplied by a third party Gantner which integrates fully with business.
A businessUser with unrestricted access to the Dashboard. Usually a manager or the owner of the gym or studio.
Android Mobile App
Members who have an Android smartphone (Samsung) will download the Android version of your mobile Member App.
Periods of time created in the schedule of a Trainer or a Facility which can be booked via the Member App or Website Portal.
Automatic Push Notification
A Push Notification that is sent automatically by business or as a result of a rule setup by a User.
Book a Buddy
A feature which allows Members to use their Service Credits or to pay in advance for a friend to also attend a Class or a Course.
A period of time in advance that a Class can be booked set in hours.
This is the view of all the combined Service schedules in the Dashboard. Available in daily, weekly and monthly view.
The period by which a Member can cancel attendance for a Service without having to pay or use a Service Credit.
The rules related to when a Member can cancel attendance for a Service without using a Service Credit or being charged.
The maximum amount of spaces available for booking in a Class, Course or an Appointment.
A feature which allows a User to record that a Member has attended the gym or studio or has attended a specific Class, Course or Appointment.
Check in Barcode
A barcode used with a scanner to check a Member in as attended the gym or studio or as attended a specific Class. Barcodes can be created on a key tag / membership card or via the In App Barcode supplied by business.
A group exercise Service created by the Gym or Studio with a particular Start Date, Facility, Trainer and Capacity that can be booked by Members on an ad hoc basis without a long term commitment.
Class / Course Categories
Categories are used to group Classes or Courses together based on similarities e.g. by class type (cardio vs kettlebells).
Click and collect
Method by which items are ordered through the Store in the Member App and collected on their next visit to your facility.
Sometimes called a bootcamp, event, or workshop, a Course is a group activity created by the Gym or Studio with a particular Start Date, End Date, Facility, Trainer and Capacity that can be booked by Members and usually requires a longer term commitent than a Class.
Other tags that you use to categorise and group together your Facilities or Trainers e.g. difficulty level (beginner vs advanced).
A once off charge for a Member which is not related to a particular Service or Membership.
In Report Builder, Admin Users can create unique reports tailored to the gym or studio's needs through the use of filters.
The business software User interface that Users log into to manage their Gym or Studio.
Platinum feature which allows clients to customise terminology in business to their own business.
Drop In Member
A Member who is not on a Membership / Service Credit Pack and chooses to pay a drop in rate for Services. This is the default setting for new Members that are added to business.
Drop in Rate
The rate charged for Services to Drop in Members.
Determines whether a particular Membership type is eligible to attend a Service.
A notification that is sent to Users and Members from business via email.
An option when selected that creates a Schedule for Trainers and Facilities to allow bookings by Members via the Member App and Website Portal
The date that a particular Service like a Class will end and no longer be available for Members to book.
Events are Classes or Courses which occur in the Schedule.
The date that a Membership or Service Credit expires.
Facebook Call to Action
A button on a Facebook Business page which allows Users to link directly to the business Web Portal.
Connecting a business booking and payment portal with your Facebook page so that members can easily book classes and purchase memberships straight from your Facebook Page.
A location at a Gym or Studio where Services like Classes of Courses are offered.
In App Barcode
Barcodes auotomatically created by business which appear on a Member 's profile in the Member App and can be used to check a Member into the gym or studio or into a class.
iOS Mobile App
Members who have an iPhone or Apple device will download the iOS version of your mobile Member App.
An optional fee which is charged to Members when joining on top of a first month Membership fee.
The level of suitability of a Class or Course for a particular Member, eg Beginners, Advanced, All Levels.
Manual Push Notification
A push notification that is sent manually by Users to Members
Member Activity Stream
A tab within your member's profile that records their recent bookings, attendances and no shows.
A custom branded mobile app (iOS and Android) for your members to download. From here, members can book and pay for Classes, Courses, Appointments and Memberships. They can even purchase your products through your very own Member App Store.
Customers of the Gym or Studio that have been registered on business.
A package that entitles the member to avail of particular Services, depending on the Membership Plan chosen. Memberships can be set up as Recurring Payments via Stripe or for Single Payments.
Membership Start Date
The date that a Membership commences.
An area of the Member App where you can post content such as blog posts, articles and motivational stories. From here, members can also stay up to date with your latest business updates E.g. Opening hours for the upcoming bank holiday.
An In-App Message or email that updates or reminds a member.
The duration after which a Recurring Payment will reoccur. E.g. Weekly. monthly, quarterly, annually.
A tool that can be used to group multiple Services in one shopping cart and take payment with ease in the Dashboard.
A pricing plan related to a Membership which determines the price of the Membership, what services Members can avail of and how they agree to pay for the Membership.
You have the option to set any of your Services or Products to 'Private' mode. This means that the product or serice in question will not be made available to book or purchase through your Member App / Website Portal.
Another version of the same Product. Product variants are used when you have multiple versions of the same product. E.g. You might sell different variants of the same yoga mat: green, blue and orange.
Items that you sell through your Member App Store, or over the counter.
A short In-App Message displayed on the home screen of a smartphone or tablet. Push notifications can be Manual or Automatic.
A Reception User has slightly restricted access to the Dashboard. They can book Members into any class, edit Member profiles, send Push Notifications and post News. However, they cannot view the reporting section or edit any settings whatsoever, that includes the overall settings, Class settings and Memberships.
Recurring Membership Plan - "Subscription"
An automatic payment plan for a Membership from a member's bank account or credit card. The Membership Plan continuously repeats after a time period set by you, for example monthly, bimonthly, quarterly. The first payment is authorised by the Member via a debit card, credit card or bank account sand the payment is repeated thereon. The member is now said to have a "Subscription".

Where Custom Reports on key performance metrics can be created and saved.
A list of all your saved reports. Once a report is created in the Report Builder, you have the option to save it. If you choose to save your report, it will be moved to the Report List.
Restricted Service Plan
A Membership Plan or Service Credit Pack that has limitations as to which services can be booked under the plan.
The price at which you will sell your product at. The product will be listed at this price in your Member App.
The days and times that your Class / Course / Appointment occurs.
Service Credit History
A record of how a Member has used Service Credits.
Booking credits which relate to a particular service offered by the Gym or Studio, i.e. Classes, Courses and Appointments.
The Classes, Courses or Appointments that your gym or studio offers.
Sign Up Waiver
A 'tick the box' T&Cs form that may be completed online through your Member App or Website Portal, eliminating the need for paper files. Your members agree to these terms and conditions prior to using your service or becoming a member.
A one time payment. This payment will not reoccur automatically.
The date that a particular Service like a Class starts and is available to be booked.
The number of a particular Product that is available to be sold.
A platform in your Member App for you to sell your products, on a 'Click and Collect' basis.
Under the Strike System, you have the option to assign a 'Strike' to members who book in for a Class but do not attend. After a number of no shows defined by you e.g. 3, you can block the member from booking in for the class.
A trusted and secure payment processing company that integrates with business so that you can take payments via your Member App and Website Portal.
Terms and Conditions
Our business provides the ability for Users to create terms and conditions related to the Services they offer. There are three categories of Terms and Conditions: 1) Sign Up Waiver. 2) Payment Terms 3) First Class Booking Rules
Staff members who instruct classes / appointments / courses at your gym or studio. Trainers can be setup to take Appointment bookings.
Those allocated with the User role of Trainer solely have access to viewing the classes they are assigned to. Trainers can book members into their class and post class news and updates, however they are unable to edit member profiles or settings.
Unlimited Services Plan
Under a Membership that is marked as having an "Unlimited Services Plan", the member can book any Class / Facility / Trainer.
The different categories of User roles that are provided access to the business' Dashboard. There are three categories of Users, Trainer, Reception and Admin.
Once enabled under 'settings', the waiting list for your Class or Course will be activated when it hits Capacity. If a member goes to book the class / course that is full, they will be prompted to join the waiting list. When a cancellation is made, the waiting member will be automatically booked in for the class.
A portal for members to view, book and pay for your Services directly from your website. We design this portal based on your brand so that it integrates seamlessly with your current website.
Website Portal Embed Code
This is the piece of code used to connect your Website Portal with your Website. The code can be found in the 'Go Live' section of your Dashboard.
Website Portal Embedding
This is the process of connecting your Website with your Website Portal for booking and payments. It is completed by inserting a piece of code onto your website.
